Build User Guide

This guide provides a concise, step-by-step overview of accessing Kuali Build, locating your apps and documents, working within the Document List, and editing a submission that's already been sent into workflow.

Log In

  • Go to usu.kualibuid.com in your web browser no installation required.
  • Sign in using your USU credentials.
  • You'll land on the Kuali Build Dashboard.

Find Your Apps

Use the left navigation bar on the Dashboard to browse your apps:

  • All Apps – Every app you have access to, either created by you or shared with you.
  • Favorites – Apps you've favorited. Select or unselect the heart icon on an app tile to favorite or unfavorite it.
  • My Apps – All apps you've created.
  • Shared with Me – Apps or products another user has shared with you that you didn't create.

Use the three-dot menu (⋮) in the top-right of any view to sort your apps alphabetically or by creation date.

Find Your Documents

Use the top navigation bar on the Dashboard:

  • Action List – Documents that need your action (Approve, Acknowledge, or complete a Task).
  • My Documents – Submitted – Documents you've submitted, along with their current workflow status.
  • Assign roles (PI, Co-PI, Key Person) and complete certifications.
  • My Documents – Drafts – Forms you've started but haven't submitted yet.

Click a form name to continue editing and submit it or use the trash can icon to delete a draft.

Know the Difference Between Document Views:

  • My Documents (Dashboard nav bar) is your personal view, showing forms you've submitted or saved as drafts across all apps.
  • An app's Document List is the admin/builder view, showing all submissions for one specific app.
  • If you can't locate a draft, check My Documents → Drafts first. If it's still missing, contact the app admin or the USU Kuali support team.

Open an App's Document List

  • From the Kuali Build Dashboard, click on any app tile.
  • You'll land on that app's Document List by default.

Work Within the Document List

  • Submit a New Form – Select New (or Fill Out Form if there are no submissions yet).
  • View Submissions – See all documents submitted through the app that you have access to, along with their current workflow status.
  • Customize Your Columns – Click the column settings icon to check or uncheck fields and drag columns to reorder them. Your layout is saved per user, per app.

Edit a Submission (Withdraw & Resubmit)

  • Withdraw the submission so it returns to draft status (or ask the current approver to Send Back the record to you).
  • Make your edits to the form.
  • Resubmit the form to send it back through the workflow.

Notes and Hints

  • Build vs. Research: Use Kuali Research for proposal and award management, disclosures, and viewing reports. Use Kuali Build for USU forms such as PI award acceptance, sponsor requests, and user access requests.
  • Missing a Draft? Check My Documents → Drafts in the top navigation bar first. If it's still missing, contact the app admin or the USU Kuali support team.
  • Deleting a Submission: Deleting is permanent and cannot be undone. You can only delete your own draft submissions — submitted records can only be deleted by an app administrator.
  • Can't Withdraw? If a submission has already moved past the point where withdrawal is available, contact the app admin to have it sent back to you instead.
